Role Overview
As an experienced Administration Assistant you will be directly reporting to the Accounting Manager. You are responsible in managing administrative and data entry tasks. Your role is also responsible for entering data from invoices and effectively updating it into the system. The successful candidate will have a vast background in an office administration role and data entry experience. Such tasks will include managing stationary, answering reception calls, and filing and travel bookings. Excellent communication skills are crucial in this role as you will be involved in connecting with customer and key stakeholders. You are responsible for managing reception and front of reception duties. The successful candidate demonstrates a motivated and driven attitude in effectively resolving customer enquiries.

As an Administration Assistant you will be part of allocating accurate and data entry into systems and managing administration tasks. The successful candidate demonstrates strong verbal and written skills to provide advice on customer enquiries and internal stakeholders. This role is primarily focused on service delivery, which will suit an easygoing, collaborative and experienced Administration Assistant. Your ability to work under pressure in difficult situations will demonstrate your dedication in maintaining key stakeholders. Therefore, the key success factor is your ability to effectively communicate, handle difficult situations and collaborate within a team.

In order to be successful for this role you will be responsible for the following duties:

  • Responsible for managing office administration tasks including stationary, reception, mail and filing.
  • Liaise with internal stakeholders to identify resolutions.
  • Handling volumes of invoices and processing data into the system.
  • Managing customer enquiries and internal stakeholders through email and the phone.
  • Providing general secretarial and administration support.
  • Assist the management team in terms of invoice processing and reception duties.
  • Coordinate travel and accommodation bookings.
  • General administration tasks including ordering of office supplies and handling customer enquiries.

Candidate Profile
As an Administrative Assistant you will have demonstrated your experience in an Office Administration and data entry roles. You will have experience in handling and managing volumes of invoices and customer enquiries. A successful candidate will have strong communication and problem solving skills to work towards deadlines. This Administration Assistant must possess basic Excel and PowerPoint skills in their previous roles. A high level of attention to detail and a positive attitude when completing tasks is essential. Also, this Administration Assistant must have strong computer skills, specifically with the use of Microsoft (PC based) software such as Excel and Microsoft PowerPoint. The successful candidate will also possess influencing skills who will thrive in a fast paced and collaborative environment, and has an attention to detail.
